What Size Tent You Need Based On Your Guest Count

When you’ve made the decision to host an outdoor event, you’ll need to perform a little arithmetic. The number of tables and chairs required will be determined by your guest list. As a result, the size and style of tent you need rent to provide shade and shelter are determined by this factor. The size of the tent you require based on the number of guests is only one of the calculations that must be made. Include enough room for buffet tables, a dance floor, a bandstand, or a DJ’s station if you want to go creative.

There may also be a need for additional room for a cake table, beverage tables, or a table where guests may sign a guest book.

Eights and Tens

In the tent industry, square feet are measured in square meters. They’re often rectangular in design, however depending on the size, some are squarer in shape as well. It is more difficult to see through a tent that is closer to a square than it is to see through long, rectangular tent. Tent sizes can range from as little as 10 feet by 10 feet to as large as 12,000 square feet or more. Tent measures can start as small as 10 feet by 10 feet and increase in 10 square foot increments up to tents as large as 12,000 square feet or more.

Guest figures employ the standard of 8 people per 60 inch round dining table.

That implies that if you’ll be hosting 120 guests, you’ll need 100/8, or 15 tables to accommodate everyone.

If you’re sitting guests at long tables, multiply the number of attendees by 80 square feet for eight people.

If you’re putting up a wedding party’s head table, figure out how many people will be sitting there, including the bride and groom and any additional guests of honor. Calculate the number of 8-foot tables you’ll need to make the head table by dividing the total number of tables by four.

Buffets, Bars, and Bands

Once you’ve estimated the amount of space you’ll require for visitors, multiply that figure by eight to account for the square footage required for eight-foot buffet tables. Calculate 100 square feet for each 8-foot buffet table to ensure that there is adequate room for the line and the serving staff. Inquire with your caterer about the size of the area that will be required. For example, you may discover that you will want additional room to accommodate centerpieces, carving stations, and desserts.

I recently helped plan a 150 person wedding.

To create place for the guests’ tables, buffet table, bar and dance floor, we had to clear a lot of space. We decided on the pole tent in order to keep our costs under control (usually the most economical). Here’s how the math came out in the end:

  • For the guest tables, 1000 square feet will be available, as well as 100 square feet for the buffet table, 100 square foot bar, 300 square feet of dancing space, and one hundred square feet for a DJ.

We required a total of 1600 square feet, therefore we chose a 30 x 60 tent to accommodate us. The tent was purchased for a total of $750. Purchasing a frame tent would have cost around $1,100 dollars. Tent Size Calculator

When it comes to selecting a tent, it might be difficult to determine exactly what you’ll require. As an example, in order to determine the type and size of tent you will require, it is necessary to compute the following factors:

Expected Guests

Calculate the approximate number of persons that will be attending your event. This would include all of the persons who are actively participating in the event, eliminating those who are serving or attending as observers.

Event Type

The sort of event has the largest impact on the amount of space required. For cocktail parties and standing tables, double the number of guests by 3 square feet. 8 sq. ft. per guest is recommended for a buffet or reception. A seated supper might need up to 12 square feet of space per person.

Floor Space

Aside from a meal, do you plan on having a stage or a dance floor for your event? These extra floor area considerations will need to be taken into consideration while selecting the most appropriate tent for your requirements. A dance floor, in addition to the guest area, might take up a large chunk of the available space on the floor. Calculate at least 250 square feet for a dance floor, with extra space considered if the guest list is greater. Some occasions necessitate the addition of a separate lounge/reception room distinct from the eating area.

If the space is intended to be used as a through-space, it can be made smaller.

Unlike a conventional quartet or band, which would likely require nothing more than the bare necessities, a “huge band” would require, in addition to a reinforced stage, a significant amount of floor area to accommodate all of the members, as well as space for a speaker.

Will the tent be needed for hours, days, weeks or months?

Structure tents are more suitable for long-term installations than other types of structures since they can resist all types of weather.

Will weather be an issue?

A Structure Tent is the most appropriate choice for large tents that need to be weatherproofed. A frame tent is a good choice if the primary purpose of the tent is to give shade in an area that will not be subjected to strong winds or snow.

WAIT! Before you make your selection based on the key above, keep in mind that you will most likely require more room for the items listed below. Collaboration with your wedding planner and/or venue coordinator will be necessary to guarantee that all of these space additions are accommodated.

  1. There isn’t enough room for the head table. Adding a raised head table for you and your wedding party of 16 would require an extra 400 square feet of space over the minimum space requirements, if you chose to do so.
  1. There is enough room for a dance floor. Although it may seem a bit apparent, having a dance floor that is the proper size is essential to a successful party. Anything too little and your visitors will remain seated
  2. Anything too large and they will go.
  1. There’s enough room for the band or the DJ. A stage of 12′ by 20′ is typically required for a 4-piece band with amplifiers. In order to negotiate their rider, you need consult with your deejay’s agent or leader. This document should cover their stage requirements as well as any additional space requirements that may be necessary. If your deejay will be setting up tables, speakers, and other equipment, he may want a 10′ by 10′ space.
  1. There’s enough room for the cake table. Even if your cake table doesn’t require a lot of room, its placement is critical. Make certain that you have enough room to accommodate an area that is not too close to anything that receives direct sunlight or heat, and that you stay away from high traffic areas if possible (i.e., a door, the guest tables or the bar.)
  1. There is enough room for the gift table. I understand that this table might be set up at an area in the foyer, but I like to have it in the main event room so that everyone can keep an eye on the delicacies.
  1. There’s enough room for the bars. A built-in bar is a given if the venue is equipped with one. On the other hand, you want to make certain that you provide adequate room for visitors to cluster around the bar.
  1. There is enough room for a buffet and/or food stations. Whether or not your dinner calls for a buffet setup, you will need to set aside enough room for the actual buffet tables as well as for the buffet line-up itself. Your wedding venue organizer may inform you that you will require roughly one buffet table for every 75 wedding attendees.

How long can I keep the rentals without being charged another day?

No penalty is imposed for picking up your rentals a day ahead of time and returning them the day following your event, unless otherwise specified. Consider the following scenario: if your event is on Saturday, you may pick up rentals on Friday during store hours and return them at your convenience on Monday during store hours. Please check with the location where you will be picking up your order for their store hours.

What is the difference between a frame tent, a pole tent, and an APC tent?

It is necessary to stake a pole tent every 10 feet, as well as additional stakes at each corner, in order to keep it from falling over. Additionally, huge center poles every 20 feet are required within the tent. The attractive feature of a pole tent is the extra appearance of peaks from the center poles, which adds height and depth to your tent’s interior. Staking an A-frame tent is simple, using only between 6 and 12 stakes on average. Furthermore, because the stakes’ purpose is to keep the tent down (rather than to impart tension to the fabric), the stakes are set much closer to the tent, allowing a frame tent to fit in places where a pole tent would not.

  1. A-frame tents may also be used to span a patio, driveway, or garden, while a pole tent would need to be anchored into such surfaces in order to function properly.
  2. Perfect for graduations and picnics when you want to be protected from the rain and sun but don’t need the sidewalls to be completely enclosed.
  3. In reality, a large number of our clients do exactly that.
  4. APC tents are available in three sizes: 20×20, 20×30, and 20×40.

How will I know if I can fit a certain tent in the lawn area I have?

The first step is to determine the size of the space in which you intend to set up the tent. For staking, you will need to increase the length and breadth of the measurements by ten feet on both sides. (For example, if you want a tent that is 20′ by 30′, you will need a space that is 30′ x 40′.) If there are any barriers in the route, they must be either above or below the surface of the earth. Obstacles can include things like fences, rocks, swing sets, roadways, sprinkler systems, septic fields, and other similar things like that.

If you are unsure whether or not your intended location meets our parameters, please e-mail us images of the site and we will determine whether or not it meets our requirements. In addition, we do site visits for bigger tents.

What size tent will I need for my event?

The following list is a “best guess” of the carrying capacity of various tent sizes: 15′ × 15′ can accommodate 32 persons. 40 persons can fit in a 20′ × 20′ space. 60 persons can fit into a 20′ by 30′ space. 80 persons can fit into a 20′ by 40′ space. 30′ x 30′ accommodates 90 persons. 30′ x 40′ seating for 100 persons 30′ x 45′ accommodates 130 people. 180 persons can fit into a 30′ x 60′ space. 160 persons can fit in a 40′ × 40′ space. 240 persons can fit into a 40′ x 60′ space. 320 persons can fit into a 40′ x 80′ space.

This sizing chart is only for guest seating at a rate of 10 people per table.

Should I rent sidewalls for my tent in case it rains?

It all depends on the situation. There are no sideways raindrops, and the sidewalls will raise the temperature under the tent by around 10-15 degrees. Aside from being handy on cold days and evenings, sidewalls may also be useful when trying to obscure an unattractive view. You should keep in mind that the “APC” tents will not be able to hold the weight of the side walls.

When should I have my lawn cut before my party?

On the day of the tent installation, make sure you don’t trim your grass or mow your yard. The green sap that remains on the surface of your grass will stain our equipment, which we will have to put most of on the ground during installation since we must lay the majority of it on the ground. It is usually preferable to have your grass for a few more days during an event, since this allows it to recover more quickly from traffic compaction. If your event is on a Saturday, you would like your lawn to be mowed no later than the previous Wednesday evening.

Reviews — Birkby House

On the 10th of December, 2017, it was reviewed. Jay The wedding of our daughter at the Birkby House was a complete success on all counts. The setting was stunning both during the day and at night, and it provided the ideal atmosphere for our guests. On a gorgeous (if a little too warm for July in Northern Virginia) day, we were able to enjoy drinks and bridal party photos in the courtyard while listening to live music from a two-piece band beneath the shade of a large tree. We chose Tuskie’s Catering for our event and were quite pleased with our decision — the meal was excellent and the service much better (we jokingly asked for dancing servers to deliver the late-night pizza snack and, to our delight, they accommodated the request with style).

Guests were also able to make use of the ancient and beautifully decorated mansion throughout the event.

The ability to use the facilities before to the wedding was an extra bonus, as it allowed the bridal party (as well as the gentlemen) to congregate and prepare while sipping champagne.

They were involved in every stage of the process, all the way down to the bride and groom’s sparkler-encased goodbye at the end.

They rapidly acquired the trust of the bride, who had specific ideas about what she wanted to see on her wedding day when they met.

Thank you so much, both of you.

On the 12th of September, 2017, it was reviewed.

There is nothing short of perfection at this location, and the staff goes above and beyond to ensure that every aspect of your wedding is as beautiful as you have hoped it would be.

Staff members: We were treated as though we were royalty.

While she was very attentive and made suggestions based on what she had seen work for other weddings, she did not discourage us from doing things our own way if we were truly thrilled about doing them.

We were also greeted with mimosas when we arrived the following morning to pick up the leftover goods from the previous night.

Consider holding your wedding here if you have been thinking about it.

On 11/01/2016, Catherine R.

When it came to our October wedding, the Birkby House was the ideal location.

Although our bar was originally scheduled to be set up on the patio in the rear, we were forced to shift the entire event inside the enormous reception tent due to inclement weather.

The location provides a fantastic backdrop for photographs, with a variety of textures and backdrops to choose from, allowing you to create spectacular images of both large and small groups without having to leave the premises.

Bringing your own booze can also save you hundreds of dollars over purchasing it at a local establishment.

It made our entire day because we experienced unexpected winds of more than 40 miles per hour.

The costs were clearly stated, and everything appeared to be fairly reasonable.

My husband and I were instantly drawn in by the antiquity of the building, as well as the wonderfully maintained grounds out back.

They are really helpful, friendly, and imaginative.

I had a strong desire for circular seating, and despite the fact that they had never done it before, they were ready to accept the notion and put it into action.

We would have made this option if it weren’t for the employees.

Really, there aren’t enough positive things to say about the Birkby House.

Don’t be fooled by its small size; it contains everything you could ever require as well as everything you could possibly desire.

Additionally, the crew is fantastic and really accommodating in terms of assisting you in creating the right setting.

My excitement at having discovered and selected the Birkby House continues, and I hope that we will have another cause to celebrate there in the future!

It was a beautiful outdoor wedding with a touch of history provided by an incredible old property.

We had approximately 150 people show up, and it didn’t feel crowded at all.

Our location had tables and chairs, which saved us a ton of money over renting them separately.

They didn’t blink an eye when we asked to bury a bottle of bourbon on the spot, and they only hesitatingly raised an eyebrow when we mentioned that we wanted to play a lawn game called stump.

Crystal,7/6/17 We looked at numerous sites in the Leesburg region, but Birkby House was a hidden gem.

It is possible to enter the home from the back through a magnificent patio garden area that leads to a gorgeous tent with chandeliers hanging from the ceiling.

Despite the fact that we were organizing our wedding from afar, they were always prompt in responding to our questions and concerns, whether it was on the phone, email, or in-person meeting.

She also provided excellent guidance.

Dawn, 6/3/17, 4 Customer Reviews Honestly, I can’t express enough wonderful things about the Birkby House.

.and then some more!

), lawn games, and more.

It is beyond a doubt that I would book the Birkby House again and again!

They were just fantastic.

They only sought my advice when something big occurred (for example, when an important guest was running late), and they completely handled the situation.

If you are looking for coordinating services, I strongly advise you to contact Carleigh and Kristin at the earliest opportunity.

You should check into coordinating services even if you are not interested in them at the moment. (Even though my husband wasn’t thrilled with the idea at first, he has come to see that we would have been in serious trouble if we hadn’t hired them!)
